INTRODUCTION

 

If we fail to plan we have effectively planned to fail.  Planning, which involves implementation and control, is a necessary ingredient in any functional group if it is to be effective, efficient and successful.  The church of Christ is no exception.  In fact, God’s word instructs us to do everything decently and in order” (1 Cor. 14:40)

 

Each member of the Lord’s church must be active in bringing lost souls to Christ and to edify and encourage one another.  However, there are functions in the church that can only be scripturally carried out by men while other functions may be assumed by both men and women.  Regardless of our individual tasks, we must be productive as was shown by Christ in the parable of the talents (Matt. 25:14-30)

 

The degree, to which activities are performed in the church of Christ in Eutaw, is equal to the degree of our involvement, commitment, spiritual growth and maturity in Christ.

 

All activities that we are coordinating and will perform come from a directive given to the evangelist by the Holy Spirit to “set in order” the things that are wanting….” (Titus 1:5).  Therefore, the evangelist will be at the helm steering things a right until he is relieved of these administrative duties by the elders and deacons who, will be appointed.

 

The minister will appoint one person to head each activity group.  The leader of that group will in turn, liaise with the minister, in the selection of the members of his group.

 

 

QUALIFICATION OF LEADERS

 

1.                  Must be a dedicated Christian who demonstrates by his words and deeds a willingness to serve and co-operate with the leadership of the church.

2.                  Must have experience or ability in the required area of work. Experience and/or ability to learn and develop will determine effectiveness and success.

3.                  Must frequently attend the services of the church and actively participate to stimulate growth.

4.                  Must take steps to inform himself in all areas of his activities and in the word of God.

5.                  Must be a team player and possess the ability to motivate team members to be conscientious and to be effective in whatever they do.

6.                  Must be impartial in his selection of team members, pay attention to their desire to serve, ability to serve in any given situation and their Christian development and conduct.  (Persons with negative attitudes must first show signs of willingness to change and a desire to work towards chosen objectives, before they are selected.)

7.                  Must be willing to make himself available for leaders’ meetings and must himself, conduct group meetings i.e. have meetings with his group to determine effectiveness of group activities.

GROUP REQUIREMENTS

 

1.         BENEVOLENCE /VISITATION

 

a.                   Identify all the sick and needy in the congregation and determine levels of need (estimate)

b.                  Provide flowers or anything else that might cheer up the sick in the hospital or home.

c.                   Obtain and distribute reading materials to the sick and shut-in

a)                  Read to them from the Bible

b)                  Pray with them

c)                  Sing with them

d.                  Take communion to the shut-ins every Lord’s day. (this group is not expected to do this all the time but is expected to ensure that it is done)

e.                   Receive requests for assistance within the congregation (Assist those outside if at all possible)

f.                    Investigate all requests for assistance and prioritize according to urgency of need and financial resources.

g.                   Liaise with director of building and Grounds for suitable storage area, and then make appeal to the congregation for food and clothing and other necessary items as the need arises.

a)                  Provide for the day of need before it comes

b)                  Be innovative but scriptural

h.                   Mobilize group and others to assist needy in areas of: house work, yard work, transportation etc.

i.                     Keep accurate records of assistance given to the needy, inventory of food, clothing, etc. and report accordingly

j.                    Benevolence/Visitation will be financed from the church fund.  An allotment will be made annually to this activity, which must be used wisely.

a)                  The Finance Director will not entertain over-expenditure.

b)                  Should additional needs arise, an appeal may be made to the general assembly for assistance.

k.                  Ensure that brothers and sisters with cars assist those without after each service.

a)                  Never jump in your cars and speed away without first knowing if someone needs a ride.

b)                  This is Christian love.

 

 

STRATEGIC DUTIES

 

1.                    Set tasks and targets for the group which must be accomplished within specified time periods e.g. all promises of gifts, donations of food, clothing, other, for the first quarter, must be received by February 28, 2002 and distributed by March 31, 2002.

2.                    Plan, schedule and provide realistic visitation program among membership, which is to be implemented and monitored.

3.                    Should assistance be given to the needy (not members of the church) inform the Evangelism group for follow-up.

4.                    Discuss strengths/weaknesses of the programmed and implement changes necessary to improve effectiveness.

5.                    Stimulate interest among one another and encourage team effort.

6.                    Prepare annual budget for this sector for presentation at year-end group leaders’ meeting for approval.

 

WHOM SHOULD WE VISIT?

 

1.                  Visitors to our service who indicate interest in what we teach. (Please provide cards to be distributed to each visitor by the ushers appointed).

2.                  Those who miss services when cause of absence isn’t already known.

3.                  Sick and shut-in (hospital or home)

4.                  New converts (ask the church secretary for addresses)

5.                  Those who are not actively involved in the activities of the church.

6.                  Anyone suggested by a member of the congregation.  The member might wish to accompany you.

 

BUDGET FOR THE BENEVOLENT GROUP

GROUP REQUIREMENTS

 

II.   FINANCIAL GROUP

 

1.                  Maintain adequate accounting of all revenue and expenditure of the church

2.                  Prepare financial statements for congregational meetings when required

3.                  Give guidelines, to the respective group leaders as to the preparation of the budget for each sector.

a.                   Ensure that sector budget is completed on time

b.                  Plan and arrange group retreat

4.                  Assign two or more members of the church to count the money collected as offering each Sunday morning and Sunday afternoon.

5.                  Arrange to deposit into the bank, all monies collected on Sunday, by Tuesday of the same week.

6.                  Ensures that an appropriate notice board is erected on which the offering collected may be posted. 

7.                  Acquire hard cover book in which the Sunday collection may be recorded and signed by the counters.

8.                  Appoint a secretary for the group and clearly outline duties and responsibilities.

9.                  Liaise with the minister to determine the signatories on the bank account.

a.                   Ensure that signatories are more than two but not more than five persons.

b.                  Please insure that there are first signatures (i.e. those signatures that must first appear on the cheques) which will include the minister, and yourself.  The other signatures will be classified as second signature.

c.                   Immediately remove a signatory from the accounts for any reasons which you or the minister might suggest.  Please consult with him in all matters for which you might require his input.

10.              Outside of the members meetings, you report directly to the minister or any one else that he may choose.

11.              Any other relevant duties which might develop from time to time.

 

 

STRATEGIC DUTIES

 

1.                  Ensure that each sector budget is strictly adhered to.

2.                  Over-expenditure is not allowed unless the need is justified and the funds can be obtained without serious injury to other planned projects.

3.                  Liaise with the minister, on other group leaders to develop effective strategies in achieving established budget.

 

 

 

 GROUP REQUIREMENTS

 

III.               BUILDING AND GROUND

 

1.      Upkeeps, repairs and improvement of church building/Grounds

a.                   Effect structural and/or decorative improvement to church office as directed by the minister.

b.                  Schedule workday activities two weeks in advance and inform workers of the duties they are required to perform.

1)                  Ensure that all necessary supplies are in place before the schedule workday.

2)                  Ensure that food is provided for volunteers should become necessary.

3)                  Work-day activities might include:

a)            Grass cutting (as often as necessary)

b)            Painting interior and exterior of building (maybe once every two years or as necessary)

c)            Servicing of windows, doors, stacking chairs, fixing benches, tidy up kitchen, make cupboard, painting grill, fixing roof etc.

d)            General repairs.

 

2.      Lighting

a.             Install lamps and bulbs where necessary

b.            Ensure that all electrical outlets are in working order

                                 3.  Supplies

a.           Purchase all relevant supplies for use at the building e.g. Toilet bowls, face basin, plumbing supplies, toilet paper, hand towel, bins, chalks, dusters, etc.

b.          Inspect and repair all equipment belonging to the church and keep inventory of church furniture, fixtures and supplies.

4.                  Security

a.             Acquire, install, and maintain locks and doors.

b.            Made door keys available to relevant personnel e.g. minister and anyone else who need to have access to the building outside of normal hours.

c.             Ensure that building is properly secured after each service e.g. lock doors.

5.                  Baptistery

a.             Inspect at least once monthly and repair when necessary.

b.            Appoint and schedule care of baptismal clothes monthly or as become necessary.

6.                  Communion Supplies

a.             Appoint and schedule care of communion trays etc.

b.            Purchase grape juice and unleavened bread when needed.

c.             Ensure that communion is prepared before Sunday morning Bible class each Sunday. (liaise with director of worship service procedures)

7.                  Public Address System

a.             Ensure that system is always in proper working condition and available for use when necessary.

b.            Maintain a record of the location and use of all church owned equipment especially when on loan to the brotherhood.

 

8.                  First Aid Supplies

a.             Purchase and maintain first aid unit for minor accidents

 

STRATEGIC DUTIES

1.                  Establish tasks and targets for all group members for completion within specified time periods.

2.                  Ensure that all plans are implemented and monitored for effectiveness and success.

3.                  Motivate group members to build team-spirit and work with one another for the greater good of Christ and the church.

4.                  Prepare annual budget for building and grounds for submission to finance Director before the 2nd week in December each year.

    

GROUP REQUIREMENTS

 

IV.              EDUCATION

 

1.      Plan and organize Sunday school classes/Bible classes that will:

a.             Stimulate the minds of each student by making him/her aware of God and his saving grace.

b.            Lead each accountable student to accept Jesus as his savior and become a member of his church.

c.             Develop a good Christian character, which will be expressed through worship, righteous living and faithful service to God.

2.      Study, develop and implement methods to increase Bible class attendance, punctuality, quality of lessons and Christian growth.

.     Organize and establish new classes to meet congregational        growth, e.g. New converts class, teenagers classes, advance adult classes, kindergarten classes, children classes etc.

3.      Appoint suitable teachers for each class

a.             Conduct regular meetings with all teachers, substitutes and relevant committees to discuss literature requirements, classroom space, materials, discipline problems, training etc.

b.            Conduct teacher-training programs according to need.

4.      Maintain accurate attendance records and files for all Bible classes.

5.      Develop a uniform curriculum, structured systematic.

6.      Develop a system of rotation so ordinarily, no one will teach longer than three months without a break unless unavoidably so.

7.      Develop and implement year-end programs for junior Sunday school students, e.g. kindergarten, older children and teenagers. (Ensure that the arrangements for this are done from October each year.)

STRATEGIC DUTIES

1.                  Ensure that you are an outstanding example to your group, other groups, teachers, members of the church and the community at large.

2.                  Ensure that all teachers adequately prepare for their classes and employ effective teaching techniques, which will stimulate class interest, and class participation.

3.                  Ensure that all teachers arrive at least ten minutes before scheduled starting time for all classes (this is imperative)

4.                  Establish tasks and targets for all group members, teacher etc. for completion within specified time periods.

5.                  Monitor all plans, programs, and schedules to ensure effectiveness and success.

6.                  Liaise with worship leader (coordinator) to establish starting time for all classes.

7.                  Motivate your team members by using any one or combination of the following: fellowship, retreats, treats, pep talks etc.)

8.                  Prepare annual budget for all education programs.

9.                  Liaise with building & Ground coordinator to determine library requirements.

10.              Have frequent discussions with the minister on all relevant matters that pertain to the spirituality of the congregation and its image.

 

 

 

V.        EVANGELISM GROUP

 

1.                  Liaise with the minister to plan, organize, implement and monitor all gospel meetings held by the church.

2.                  Gospel meetings include:

a.   Campaigns (to be planned at least one year in advance) this includes the theme, the approach etc.

1)      Site to be determined at least one year in advance.

2)      Accommodation (tent or building availability at least six months in advance).

·                    Chairs, lighting, public address system, speakers, workers, and advertisement, budget to be determined at least one year in advance.

3)      Areas for meeting must be chosen according to population, recent                           development, the likelihood of success (new convert) etc.

b.   Personal evangelism (knocking on doors)

1)         Areas to be properly mapped out and strategically approached in order to               achieve desired results.

2)         Appropriate and relevant literature to be developed and issued.

            3)         Ongoing training for participants

            4)         Success must be determined by:

a)         Queries from residents, attendance at worship services by residents, potential converts, converts etc.

b)         Analyze effectiveness of programs and modify where necessary.

c)                  If program proves ineffective, abort and develop new personal evangelism program.

c.         Pulpit preaching

            1)         Preachers to be scheduled by the minister or his assistant.

1)                  Preachers must be informed about preaching assignments at least one month prior to the appointed time.

2)                  It may become necessary to develop themes to which all sermons must be addressed

·                    Themes may run for up to two months at any given time.

·                    The names of preachers may be posted for up to three months

d.         Any other

3.                  Prior arrangements must be made to reimburse visiting preacher for transportation expenses along with a stipend for the service.

4.                  To pilot a motion in group leaders meetings for financial support for the ministers. (to be approved by the general assembly)

5.                  Any other duties that may be assigned from time to time by the minister.

 

 

 

 

VI.       FELLOWSHIP GROUP

           

1.                  To plan organize and implement church activities (viz. Social programs) e.g.

a.         Annual dinners (not Christmas dinner) along with all entertainment activities for the occasion.

b.         “Sing-spiration” Venue, activities, date, time etc.

c.         Retreats (all members)

d.         Area fellowship e.g. Pickensville, Forkland etc.

e.         Group or class fellowship (Group leaders or Sunday school class teachers)

f.          Hospitality – special fellowship for new converts or members of other congregations who have place their membership with our local congregation.

2.                  This group must be alert, positive, planning oriented, sensitive to the needs of the congregation and be able to monitor all fellowship activities to ensure success.

3.                  Establish budget for this activity and present at annual group leader’s meeting for approval.

4.                  Other fellowship activities, which may become necessary from time to time. (consider budgetary constraints).

 

 

GROUP REQUIREMENTS

 

VII.      WORSHIP SERVICE PROCEDURES

 

1.                  Schedule members for participation in Sunday and Thursday  services as follows:

a.         Ushers to welcome and seat visitors (when necessary) and to obtain vital information on visitors’ card for follow-up work.

b.         Song leaders

c.         Prayers

d.         Scripture reading

e.         Lord’s table

f.          Announcements

            (Only Christians, faithful in attendance and godliness).

2.                  Publish a monthly schedule of participants

3.                  Appoint men and women to assist in baptism

4.                  Provide flowers for the auditorium during gospel meetings and Sunday services

5.                  Supervise the use of songbooks and ensure that they are kept in good condition.

6.                  Schedule persons for: preparation of communion, washing communion supplies, and ensuring that communion supplies are always available.

7.                  Liaise with other groups if some functions over-lap.

8.                  Ensure that all Sunday morning classes end at least ten minutes before morning worship begins.

9.                  Prepare annual budget for this function.

 

 

 

GROUP REQUIREMENTS

 

VIII.     YOUTH GROUP

 

1.                  Organize group so as to facilitate the appointment of:

a.         President

b.         Vice President

c.         Secretary

2.                  Plan activities that edify, stimulate interest, increase membership/attendance, and prepare the youths for greater service in the church.

3.                  Purchase supplies for games and maintain inventory.

4.                  Liaise with director of building & grounds to obtain suitable accommodation for group activities, storage for supplies etc.

5.                  Ensure that group activities do not clash with church activities – Liaise with other group leaders.

6.                  Inform the congregation and parents/guardians of all out door activities (i.e. activities away from the building)

7.                  Other requirements, which may develop from time to time.

8.                  Prepare annual youth group budget.

 

 

 

 

IX.       LADIES GROUP

 

1.                  Appoint a president who will, along with any other officer, members, plan, coordinate and implement all group activities.

2.                  Liaise with the minister to provide accommodation for the overseas visitors when the need arises.

3.                  Coordinate special activities (e.g. Father’s day; Mother’s day; Birthdays, Anniversaries etc.) for members.

4.                  Give special attention to I Timothy 5:2-16 concerning widows in the church.

5.                  Develop plans which incorporate Titus 2:3-5 which discusses women teaching other women, their conduct at home and their relationship with their husbands.

6.                  Schedule meetings, which do not clash with other meetings and activities of the general assembly.

7.                  Prepare annual budget for group activities.

8.                  Any other duties that may develop from time to time.

 

 

 

GROUP REQUIREMENTS

 

X.        OFFICE (Manager/Secretary)

1.                  Keep an up to date calendar of events for the church.

2.                  Maintain proper office files (e.g. baptismal records; dedications, weddings, membership, attendance, correspondence course, visitors, Bible studies etc.)

3.                  Receives and sort mails for distribution to the relevant group leaders.

4.                  Maintain adequate record of the sick and shut-ins of the congregation

5.                  Maintain bulletin board with all current information.

6.                  Maintain all office equipment in perfect working condition.

7.                  Type all church reports e.g. the various group reports, budget, minutes of meetings etc.

8.                  Office days must be established to facilitate effective communication among all concerned, e.g. for reports, minutes, budgets etc.

9.                  Must be computer literate or possess the ability to learn easily and quickly.

10.              Prepare annual budget for all office duties.

11.              Any other duties which may be required by the minister, group leaders or the church.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

EXPECTATION OF MINISTER

 

1.                  Preach/Teach the Word (2 Timothy 4:1-2; 1:11; I Cor. 9:16; Matt. 28:18-19)

2.                  Ensure that none teach any other doctrine than what is established in the New Testament (1 Tim. 6:13-14; 1:3; 6:20)

3.                  Set in order the things that are wanting (e.g. appointment of elders & deacons, assistant minister etc.) Titus 1:5

4.                  Put the brethren in remembrance of God’s Words in respect of: Church discipline, faithfulness to God, to one another, the community and the world at large. (1 Tim. 4:6; Rom. 13:1-7; john 19:11; Tit. 3:1-2)

5.                  Ensure that the widows in  need are attended to by the church (1 Tim. 5:3, 9-10, 16)

6.                  Encourage the church to provide financial assistance to: (1 Tim. 5:17-18; 1 Cor. 9:13-18)

*          Elders

*          Evangelists

7.                  Ensure that the church disciplines those who persist in ungodliness ( 1 Tim. 6:3-5; 1 Cor. 5:1-2; Gal. 6:1)

8.                  Must not entertain nor encourage grievous encounters with members of the church or others (2 Tim. 2:23-24).

9.                  Openly expose trouble-makers in the church (Tit. 1:9-11; 3:9-11)

10.              Do the work of an evangelist (2 Tim. 4:5; 2:15)

11.              Commit the responsibilities of the church to faithful Christians only (2 Tim. 2:2; John 15:5; 16).

12.              Command and teach the doctrine of Christ without fear or favor (1 Tim. 4:11; Phil. 1:14; 2 Tim. 1:7; Acts 4:18-21).

13.              Allow no one to despise him or the work of the church (1 Tim. 4:12; 1 Cor. 16:10-11; Rom. 10:15)

14.              The preacher is expected to speak, exhort and rebuke with all authority. (Tit. 2:15)

15.              Any other duties which might assist in reaching lost souls for Christ, e.g.

*          Counseling

*          Perform weddings

*          Funerals

*          Any other social or community service

*          Visiting the sick, weak and afflicted members of the church and the community.
